Job Overview

As an administrative executive assistant, you will provide administrative administrative support. The main responsibilities include managing heavy travel, telephone calls, meeting arrangements, calendar, and document maintenance, generating and forwarding letters, and other assigned responsibilities.

Responsibilities

Take care of all the daily tasks of the executives they support. This includes but is not limited to answering multiple phone lines, scheduling and coordinating meetings, and other general management functions.

Schedule all meetings and keep executives informed of any changes; provide materials and request food/beverages where appropriate.

Heavy Travel Coordination – Coordinate with the travel department to organize all aspects of the trip, including aviation, accommodation, transportation, etc.

Expense Management – Organize your receipts and Concur entry on time to ensure your billing schedule is adhered to.

Prepare and review all meeting documents and any departmental communications.

As the preferred resource for executives and other employees

Establish a strong working relationship with other executives and other personnel in the department

Cooperate professionally with senior executives and clients, think and work independently, be proactive, handle confidential information and work effectively efficiently.

Other assigned temporary elements.

Skills, experience, and education needed

An associate’s or bachelor’s degree preferred

At least 6 years of experience in an administrative assistant position

Extensive experience and comfort in working with senior management; this is a high profile position

Excellent experience in travel arrangements and in multiple time zones the job is

Successful experience in the financial services industry or support sales organization is an asset

For all Microsoft applications: Excel, PowerPoint, Outlook, Word (MS Office certification or equivalent operational knowledge preferred) environment you need to work in

Good interaction with colleagues, senior managers, and other department employees

Excellent customer service and organizational skills

Excellent writing and editing skills

Excellent oral and written communication skills

Must be proactive Meet and exceed the needs of leaders and handling confidential information

Able to meet deadlines and multitask in a fast-paced environment

Experience in project management, but not required. Chapter
